The difference

Most accounting software records what it is told. This one checks.

Because Finance OS understands what it holds, it can verify it — continuously, and against the ledger itself. Where the arithmetic does not hold, it stops and reports the difference to the cent, rather than accepting the entry and leaving the problem for year end.

01 — MIGRATION
An opening balance is proved before it is posted.
Bring a client across from Pastel, Sage, Xero or QuickBooks and the system verifies the opening position before a single journal is written: debits equal credits, 8000 Debtors Control equals the sum of open invoices, 9000 Creditors Control equals the sum of open bills. If any check fails, nothing is posted and the difference is reported. The system does not round a book into balance.
02 — COMPLETION
Work is closed on evidence, not assertion.
Practice-management tools mark a task complete when a person says it is. That records a claim. Finance OS closes the work when the artefact exists and reconciles — the bank reconciliation ties to the cent, the payroll run is posted, the VAT201 is prepared and filed. Where someone has confirmed work without a supporting artefact, it is recorded as a claim and shown as one.
03 — VAT
A tax treatment is never assumed.
Where a client's VAT status has not been captured, the system neither applies 15% nor assumes zero. It reports that the position is unknown and declines to compute. An unrecorded assumption is how a business comes to owe SARS output tax it never charged.
04 — DOCUMENTS
A statement is only imported once it reconciles.
The agents read the PDF; the evidence layer decides whether to accept it. Opening balance plus every line must equal the closing balance. Where it does, the statement is imported. Where it does not, nothing is imported and the difference is shown. Where the balances are not stated at all, the system says so rather than infer them.
05 — YEAR END
A year is closed only when it ties.
A closed financial year is an assertion — to the client, to SARS, and to whoever reviews it next. Finance OS will not make that assertion unless the trial balance balances, the control accounts agree with their subledgers, and no posting remains unclassified.

The system

Not a bookkeeping app with a tax module bolted on. One ledger, one chart, one source of truth — and every statutory obligation derived from it.

The ledger

Immutable and append-only. Nothing is edited, nothing is deleted, everything is a posting. A control account can only be written by the subledger that owns it — so debtors control always equals the debtors, by construction rather than by hope.

Sales, purchases, bank, cash

Invoicing, credit notes, allocations, supplier bills, petty cash on the imprest system, bank import and reconciliation. Photograph a supplier invoice or forward it by email — AEGIS reads it, checks that the lines plus VAT equal the total, and stages it for approval.

Payroll & SARS

Full South African payroll — PAYE, UIF, SDL, ETI — with EMP201, EMP501 and IRP5/IT3(a) built from the actual runs. VAT201 from the actual ledger. Provisional tax and ITR14 from the actual numbers. Nothing re-keyed, so nothing to re-key wrong.

Statements & assurance

A full IFRS-for-SMEs annual financial statement set, and the assurance documents that go with it — engagement letters, compilation reports under ISRS 4410, working papers. Built from the standards themselves, and from the ledger underneath them.

The Companies Act, enforced

The section 4 solvency and liquidity test, computed — both limbs, twelve months forward. The Public Interest Score, computed, and with it the reporting framework and assurance level the client actually requires. A company that cannot lawfully declare a dividend is told so before it declares one.

Intelligence, on a leash

Ask AEGIS a question in plain language and it answers from the ledger. Tell it to do something and it does it — but anything that touches money shows you the exact double entry first, and waits. Thirty financial-health ratios, cash-flow forecasting, anomaly detection. Every number it quotes is computed, never estimated.

Most accounting software is written by reading other accounting software. Finance OS was written by reading the Acts, the standards and the SARS specifications themselves — and the rules are implemented as rules, not as approximations that happen to give the right answer most of the time.

Companies Act 71 of 2008

Section 4 — the solvency and liquidity test, both limbs, twelve months forward. Regulation 26(2) — the Public Interest Score, and with it the reporting framework and assurance level a client actually requires. A company that cannot lawfully declare a dividend is told so before it declares one.

Value-Added Tax Act 89 of 1991

Section 21 — a credit note's VAT falls in the credit note's own period and is never backdated; a recipient reverses input tax in that period; a settlement discount on an invoice is not a credit note. The rate is a date-effective parameter, so a prior period keeps the rate that governed it.

IFRS for SMEs · ISRS 4410

A full annual financial statement set to the standard, and the compilation report that accompanies it. Produced from a frozen snapshot, so the figures you signed are the figures you can always reproduce — years later, to a reviewer, without argument.

Income Tax Act · BCEA · SARS BRS

PAYE, UIF, SDL and ETI computed from the Fourth Schedule, not from a lookup table someone updated once. Payslips to BCEA section 33. EMP201, EMP501 and IRP5/IT3(a) built to the SARS Business Requirements Specification, from the actual payroll runs.

A firm with a hundred and sixty clients cannot open them one at a time. AEGIS shows the principal every client at once — and, more importantly, everything that hasn't happened.

  • Work that was owed and wasn't done. Derived from the client's own facts — VAT-registered means VAT201s, employees mean EMP201s, a bank account means a monthly reconciliation.
  • Work nobody owns. Ranked first. Unassigned work is work that will not get done, and that no one will be blamed for.

Migration

Bring the books across from anything. Or don't bring them at all.

Xero connects directly. Pastel, Sage, QuickBooks and everything else print three reports — a trial balance, a debtors age analysis, a creditors age analysis. That is all AEGIS needs.

  • Upload them in any format. Spreadsheet, CSV, or a printed PDF. AEGIS reads them.
  • Then it proves them. Debits equal credits. Control accounts equal their subledgers. To the cent.
  • Tied, it posts. Untied, it refuses — and shows exactly which check failed, and by how much.
  • No trial balance? Start anyway. Load what the client actually has and build forward. AEGIS never forces a book that doesn't exist.

The question you should ask every vendor

"And what happens to my clients if you disappear?"

It is the right question, and you are entitled to a straight answer rather than a reassuring one. A practice cannot put a hundred and sixty client books inside a young company on faith. So we have answered it in the design of the system, not in a conversation.

The exit is already built

One-click trial-balance export — per client, or your whole book as a single file — formatted for CaseWare, today. It is the export your practice would use every day anyway. It is also, if it ever comes to that, the door out. Your working papers and your AFS process never lived inside us to begin with.

And the rest of it is a term, not a promise

Full export of every client — ledger, subledgers, contacts, documents — in open formats, on demand. That is written into the migration agreement before a single client of yours moves across, because a commitment you can enforce is worth more than one we merely make.

Nothing is a black box

Every figure is derived from postings you can see, in a ledger that is append-only. There is no proprietary calculation holding your numbers hostage. A book that came out of AEGIS can be reconstructed and defended without AEGIS.

You migrate on evidence, not trust

No client moves until a parallel run has proved the trial balance, the VAT201 and the payroll to R0.00 against your existing system. You are never asked to believe us. You are shown the difference, and it is zero, or the client does not move.

A vendor who makes it hard to leave
is telling you what they think of the product.
